Units

The complex's register of units: search, sort and preset views, edit cells in place, change many units at once, and open a unit's card.

The units table is the register of everything in the complex that can be owned and charged: apartments, houses, parking slots, storage rooms and the rest.

Who can use it

Sidebar › Units. Reading needs View units; editing, selecting and bulk changes need Edit units. The Plan column is shown to the Global Admin and the organization’s admins; only the Global Admin assigns plans.

Where units come from

Units are created in bulk by the bulk generator or imported from a CSV or Excel file with the generator’s import. Archived units stay in the history and leave the table. When the organization’s plan has a hard Units limit, creating units over it is refused with a message naming the limit (see hard limits).

The table

Columns: No., Location (entrance, street or block), Floor, Type, Area, Rooms, Owner, Plan and Status. The owner column is not filled yet: owners are listed and assigned on Owners and residents and in the unit’s card.

  • Search by unit number.
  • Sort by number, type, area or rooms.
  • Preset views: All units, Debtors, Vacant only and Over 100 m². Save your own with saved views.
  • Choose the Columns to show; the table remembers them in the page address.
  • Below 900 px wide the table becomes a list of cards.

Edit in place

With Edit units, click a cell of Floor, Type, Area or Rooms, or focus it and press Enter or F2.

  • A list saves as soon as you pick a value.
  • A number saves on Enter, Tab or when you leave it; Esc cancels.
  • Area is 0.01–99,999.99 m² with up to 2 decimals; rooms a whole number from 0 to 20.
  • If the save is refused, the old value comes back with the reason.

Change many units at once

Tick the rows, and the Bulk change bar appears with the number selected:

  • Choose a Type and select Set type, or enter an Area, m² and select Set area.
  • Between 1 and 500 units at a time.
  • The change applies to all of them or to none. Archived units are refused, and so is a type change that would give two units of one type the same number.

Clear drops the selection; changing the search or filters drops it too.

Billing plans

The Plan column shows the plan each unit is billed on today, and where it comes from: Unit for its own plan, Complex or Organization when it inherits it from the complex or the organization.

The Global Admin can select units and use the Assign plan form of the Bulk change bar: choose a Plan for the selected units, or Inherit (no own plan) to drop their own plan, and a Starting month for the selected units (the current month or later), then select Assign plan. Up to 500 units at a time. Invoices already issued keep their plan.

Export

Export this list saves the table as you see it, with its search, filters, view and sort, to Excel (.xlsx) or PDF (.pdf). The file has the columns No., Type, Location, Floor, Area, m², Rooms and Status, in your language. The owners have an export of their own on Owners and residents.

The file is made in the background: a message says when the export starts, another offers Download when it is ready, and My exports keeps it for a while. One export takes at most 10,000 units; narrow the filters if there are more. See saved views and exports.

The unit card

Select a unit’s number, or a tile on the map, to open its card on the right: its type, location, area, rooms, cadastral number and lot size, and, for the Global Admin and the organization’s admins, its Effective plan. Owners lists the people who hold the unit, invited ones marked, with Assign owner, which opens the New owner drawer with the unit chosen. The sections for residents, documents and requests fill in as those features arrive.

View as owner

Admins with View as owner (logged) see a View as owner button at the bottom of the card. It lists the unit’s active owners and residents. Pick one to open the portal exactly as they see it, in this complex only. While you view, a banner at the top says whose view you are in, and nothing can be changed: no payments, votes, requests or settings. Exit on the banner takes you back to your own account and the page you came from, without signing in again. The session ends by itself after a while (30 minutes unless your platform set another time), or as soon as you lose the admin role. Starting it and leaving it with Exit are recorded in the audit log under View as owner, with you as the one who did it. Staff, admins and Global Admins cannot be viewed this way.

Meters

With permission to manage meters, Meters lists the unit’s cold water, hot water, gas and electricity meters, each with its serial number, its reading in m³ or kWh and the date it was installed. Add meter opens a form for the kind, the Serial number (up to 40 characters), the Initial reading (0 or more, up to three decimals; 0 for a new meter) and, optionally, the Installed on date, which cannot be in the future. A unit has one active meter of each kind: to replace one, edit the old meter, switch Active off and save, then add the new one. The pencil edits a meter and the bin deletes it after you confirm. Every change is recorded in the audit log. Owners submitting their monthly readings comes later, see meter readings.

Balance and charges

With permission to read finance, Balance shows what the unit owes, in red with the date the debt has been unpaid since, a credit carried forward, or All paid. Charges & payments lists everything posted to the unit’s account, newest first: charges, payments, late fees and staff corrections, each with its date and amount (payments and credits marked with +), and a correction’s reason under it. Transfer ownership

Transfer ownership, at the bottom of the card, hands the unit from its owners to new ones after a sale, today or on a later date. Ownership history, under Owners, lists the unit’s transfers and every owner it has had, with Cancel transfer on a pending one. See Ownership transfers.

Rules

  • A unit’s number (1–16 characters) is unique among the complex’s active units of the same type, ignoring upper and lower case.
  • A unit can be archived, never deleted: it keeps its history, and its number becomes free again.
  • Changes made by a colleague appear by themselves.
  • Every change is one entry in the audit log, however many units it covers.
