Fees & rules
The rules each unit’s monthly charge is computed from: per unit, per m², per parking or storage slot, per resident, or one-time.
A complex charges its units through fee rules. Each rule has a name, a rate in the complex’s currency and a way of charging it. Monthly invoices are computed from the rules.
Who can use it
Sidebar › Finance › Fees & rules. A Complex Admin, an Org or Global Admin inside the complex, and an Accountant can add, edit and archive rules. A Board Member can read them.
How a fee is charged
- per unit / month: the rate once for each unit.
- per m² / month: the rate times the unit’s area. A unit without an area is not charged.
- per slot / month and per storage room / month: the rate for each parking slot or storage room that has an owner or a tenant. A free slot is not charged.
- per resident / month: the rate times the number of people the unit is assigned to: owners, co-owners, tenants and family.
- one-time: the rate once, in the month you choose, such as a special assessment for a roof repair.
Add or edit a rule
Add fee rule opens a form:
- Name, up to 120 characters.
- Charged: how the fee is charged.
- Rate, in the complex’s currency, above 0 and with no more decimals than the currency has.
- Month, for a one-time fee only.
- Unit types: the kinds of unit the rule charges. Leave it empty to charge every type. Parking and storage fees always charge their own slots.
- Active from and Active until, optional, for a recurring fee.
- Reserve fund contribution: turn it on for a fee that feeds the reserve fund. As owners pay an invoice, the same share of its reserve fund lines goes into the fund; a reversed payment takes its share back. The list marks such a rule Reserve fund.
Archive a rule
Archive stops a rule from this month on. Invoices already issued keep their amounts, and editing a rule never changes them either.
Every change is written to the audit log.
