Campaigns
Marketing emails written in Markdown in up to three languages, previewed as recipients will see them, tested on yourself, then sent now or scheduled to leads, platform users by role and other addresses.
A campaign is a marketing email: product news, an offer, an invitation to a webinar. You write it once per language, choose who receives it, check the preview, send yourself a test and then send it now or at a set time. Every email has an unsubscribe link, and an address that unsubscribed never receives another campaign.
Who can use it
The Global Admin: Sidebar › Marketing › Campaigns in the platform context. Marketing also holds Leads.
The list
Columns: Name, Status, Subject, Recipients (how many were queued and skipped, once sending started), Sent or scheduled and, optionally, Updated. Newest first.
- Search by name and filter by status.
- Save the view to come back to the same filter.
- Select a name to open the campaign on the right; New campaign opens the editor.
Writing a campaign
The editor shows the form on the left and the email’s Preview on the right.
- Name is only for you and the other Global Admins; recipients see the Subject.
- Default language is sent to everyone whose language the campaign is not written in. The campaign must be written in it.
- Text by language: a tab for English, Armenian and Russian, each with a Subject (up to 200 characters), Preview text (the line an inbox shows after the subject, up to 200) and Message (Markdown) (up to 20,000 characters).
- The Formatting toolbar adds bold, italic, a heading, a list item, a link and a Button. A button is a line of its own written as
[label](https://…){button}. HTML and images are not sent: HTML shows as plain text, an image only as its description. A link must start withhttps://,http://ormailto:, or it shows as plain text. - The Preview is the email as the server renders it, at a Desktop or Phone width. It follows what you type, in the language tab you have open.
The audience
- Leads: tick it to include leads, then narrow them by Lead status, Lead source, Lead tags (a lead with any of them), Lead language and Lead country. Leads marked as spam are never included.
- Platform users: Org Admins, Complex Admins, Staff (Accountants, Board members, Maintenance staff and Concierges) and Owners and residents: everyone with an active membership in that role, in any organization. Each receives the campaign in their own language.
- Other addresses: up to 500, one per line or separated by commas. They receive the default language.
The count under the audience updates as you change it: how many addresses the campaign would reach and how many of them unsubscribed and are left out. An address that appears more than once receives one email. A campaign may reach at most 5,000 addresses.
Statuses
| Status | Means | You can |
|---|---|---|
| Draft | Being written | Edit, schedule, send, cancel or delete it |
| Scheduled | Goes out at the time you chose | Unschedule it, send it now or cancel it |
| Sending | Its emails are being queued | Watch the counts grow |
| Sent | Every recipient was queued, skipped or suppressed | Read the delivery and the recipients |
| Cancelled | Will never be sent; it stays in the list | Keep it for reference |
Send test to me works in any status and sends one copy to your own address, at most 10 an hour.
After sending
The campaign’s details show Recipients, Queued, Skipped and Delivered (with how many failed and how many are still waiting). Under Recipients each address shows its status, why it was skipped (Unsubscribed or Not a valid address), its delivery and language; filter them by status.
Rules
- The recipients are fixed when sending starts; a lead added later is not included.
- Campaign emails wait for the platform’s other emails, so an invoice or a sign-in link is never delayed by a campaign.
- If someone else changed the campaign meanwhile, nothing is saved and it reloads.
- A scheduled campaign whose audience is empty or too large when its time comes goes back to a draft.
- Every campaign action is written to the audit log, with counts only, never the addresses or the text.
