Glossary

The words HOA Portal uses, from organization and complex to quorum and grace period.

The terms below appear throughout the portal and these docs. Terms marked planned belong to parts of the portal that are not built yet.

Structure and property

Organization

A management company or an association that uses the portal. It owns one or more complexes and is billed by the platform.

Complex

One property the association manages: a building or a district. Most daily work happens inside one complex.

Building

A complex of the multi-storey kind: blocks hold entrances, entrances serve floors, and floors hold units.

District

A complex of the house kind: streets group houses and land plots.

Block

A separately addressed part of a building, such as block A or block B. A block holds entrances.

Entrance

A stairwell or door of a building that serves a set of floors and apartments.

Floor

A level of a building. Parking and storage levels can be negative, such as −1 or −2.

Street

A street inside a district that groups its houses and land plots.

Unit

Anything that can be owned and charged: an apartment, a house, a commercial space, an office, a parking slot, a storage room, a land plot, or a custom type.

Unit type

The kind of a unit: one of the built-in types, or a custom type a Complex Admin defines.

Complex time zone

The time zone a complex’s dates follow. It defaults to the organization’s zone, and that one to the platform default (Asia/Yerevan).

People and access

Context

The role and place you are working in right now: the platform, an organization, a complex, or your own unit. You pick it with the context switcher in the header.

Org Admin

An administrator of one organization, with complex-admin rights on every complex of that organization.

Membership

A person’s role in one place: the platform (Global Admin), an organization (Org Admin) or a complex (Complex Admin, a sub-role, owner or resident).

Sub-role

A staff role inside a complex with its own set of permissions: Accountant, Board member, Maintenance staff, or Concierge / security.

Invitation

A single-use link that creates an account or adds a membership. It is the only way into an existing organization or complex.

Ownership share (planned)

The percentage of a unit one owner holds. The shares of one unit add up to 100%.

Co-owner (planned)

One of several owners of a unit, each with their own share.

Lead

A message sent through the contact form of the public website. Global Admins follow it up in the Leads list.

Money

Fee template

A reusable fee, such as a monthly maintenance fee per square metre, that a Global Admin defines once for the whole platform.

Fee rule (planned)

How a charge is calculated for a complex: per unit, per m², per slot, or one-time.

Invoice (planned)

A monthly or one-time charge to a unit, generated on the 1st of the month.

Special assessment (planned)

A one-time charge for a specific cost, such as a roof repair, on top of the regular fees.

Late fee (planned)

The daily penalty on an overdue invoice: 0.1% per day after the 10th, capped at 10%.

Debt aging (planned)

Outstanding debt grouped by days overdue: 0–30, 31–60, 61–90 and over 90.

Reserve fund (planned)

Money set aside for major future repairs, tracked against a target.

Community and operations

Poll (planned)

An informal vote with one vote per unit and no quorum.

Formal vote (planned)

A binding vote with a quorum, weighted by area × ownership share, that ends with a PDF protocol.

Quorum (planned)

The minimum participation, as a share of the total weight, for a formal vote to count.

Vote weight (planned)

A unit’s voting power in a formal vote: its area multiplied by the ownership share.

Proxy (planned)

Permission for another person to attend a meeting or vote on an owner’s behalf.

Ticket (planned)

A maintenance request or issue, with a priority, a timeline and a status.

SLA (planned)

The time limit for handling a ticket: 4 hours for an urgent one, 48 hours for a normal one.

Guest pass (planned)

A time-limited pass, a QR code or a share link, that an owner or resident issues to a visitor.

Meter reading window (planned)

The days of the month when owners submit meter readings: the 20th to the 25th.

Emergency alert (planned)

An urgent announcement that ignores muted notifications and also goes out by SMS and push.

Platform

Audit log

A tamper-evident record of every security-relevant action. Each entry is chained to the one before it, so a changed or deleted entry shows up when the chain is verified.

Saved view

A list’s search, filters, sorting and columns, saved under a name so you can return to them.

Plan

A platform price list with its pricing and quotas. Each organization has a default plan; a complex or a unit may have its own, and otherwise inherits it.

Soft and hard limit (planned)

A quota threshold that warns (soft) or blocks the action (hard).

Platform invoice (planned)

The monthly invoice the platform issues to an organization for its usage.

Grace period (planned)

The time after a platform invoice falls due before the organization is suspended.

Free plan and free trial (planned)

The plan a new organization gets at self-service signup, and a time-limited trial of a paid plan.

Demo sandbox (planned)

A private copy of the demo data for one visitor, entered through one-time persona links and deleted after seven days.
