Bill water and electricity by meter readings

Add a consumption fee on a meter, check the readings before the monthly run, and understand estimated lines and their corrections.

Who: the Complex Admin, and staff whose role holds Finance manage. Path: Finance › Fees & rules.

A consumption fee charges each unit for what its meter measured: cold or hot water and gas in m³, electricity in kWh. An October invoice bills September’s readings.

Before you start

Steps

  1. Open Finance › Fees & rules and select Add fee rule.

  2. Enter a Name, such as Cold water, and under Charged choose per m³ or kWh consumed.

  3. Choose the Meter: cold water, hot water, gas or electricity. The rate label changes to Rate, AMD per m³ or per kWh.

  4. Enter the Rate per m³ or kWh. Leave Unit types empty to charge every unit with such a meter, and save. The list shows the rule as 350 ֏ per m³ · Cold water.

  5. Before the month’s run, open Finance › Invoices and select Generate … invoices. The dialog counts the units billed by reading, estimated, without a reading and with an estimate corrected.

  6. If units have no reading, select Enter the missing readings (shown to those who may manage meters). It opens Meter readings › Missing for the month the run bills. Enter or review them, then generate the invoices.

Estimated lines and corrections

When a reading is missing, flagged for review or rejected, the unit is billed an estimate from its earlier readings. Its line is marked Estimated, for you in the invoice and for the owner on their Payments page.

Once an accepted reading covers that month, the next invoice adds a correction line: what the reading measured less what the estimate billed, at the same rate. It can be negative, and the two lines together add up to what the reading would have charged.

An estimate needs at least two accepted readings. A unit with fewer is billed nothing for the meter until a reading comes in.
