Platform invoices
Each organization's monthly invoice from the platform: review the draft, issue it, and record what the platform receives.
Every month the platform bills each organization for the month before, from its daily usage and the plans in effect each day. The invoice starts as a draft for the Global Admin to review.
Who can use it
The Global Admin: Sidebar › Billing › Invoices in the platform context. Organization admins see their organization’s issued invoices on its Billing page, which is still planned.
How a month is billed
- Each day costs its share of the month’s price, with that day’s units, complexes and active users and the plan in effect that day. A plan change in the middle of a month bills each plan for its own days.
- The base fee, complexes and active users follow the organization’s default plan. A complex’s or unit’s own plan prices only its units.
- Storage above the plan’s included amount is billed on the month’s average.
- Days of a free trial are not billed. An organization with nothing to bill for a month gets no invoice.
- A yearly plan is billed once a year, in the month its assignment started.
- Each line shows the days charged, the average quantity, the rate and the amount. The lines always add up to the total.

Statuses
| Status | Meaning |
|---|---|
| Draft | Created for the month that just ended; only the Global Admin sees it. |
| Issued | Sent to the organization, with a PDF and a due date, by default ten days on. |
| Overdue | Still not paid after its due date. |
| Paid | The payments reached the total. |
| Void | Cancelled; payments already recorded stay. |
A draft can be regenerated, issued or voided. An issued or overdue invoice takes payments or can be voided. Paid and Void are final.
Issuing
Issue sets the due date, makes the PDF in the organization’s language and notifies its administrators. Regenerate computes a draft again from the usage on record; if nothing is left to bill, the draft is deleted.
Payments
Record payment adds a payment the platform received by bank transfer or cash: the amount (at most what is outstanding, in the invoice’s currency), the day it was paid and an optional reference. The payment that reaches the total marks the invoice Paid. Payments made online by the organization are recorded on their own.
Every draft, issue, void and payment is written to the audit log.
