Visitors & deliveries
The front desk: the guests expected today and their check-in, the visitor log, and the parcels waiting for residents.
The Visitors & deliveries page is the concierge desk’s screen. It has three tabs: Expected today, Visitor log and Parcels. It works on a desktop, a tablet or a phone.
Who can use it
Sidebar › Operations › Visitors & deliveries, with Visitor log: a Concierge, a Complex Admin, or an Org or Global Admin inside the complex.
Expected today
The guests residents issued a guest pass for today. Each row shows the guest, the host (Host: Apt 47 · Anahit Grigoryan), the time window, the pass code and the car plate. A guest who has not come yet is Expected; one checked in is Arrived.
To check a guest in:
- Type the code the guest shows, such as GP-1001, and press Check in.
- Or press Scan QR and hold the guest’s QR code to the camera. This button appears only where the browser can read QR codes, such as Chrome on Android. Elsewhere, type the code.
- Or press Check in on the guest’s row.
The host is notified that their guest arrived. A pass that is not valid now is refused, and the message says why: it starts later, it has expired, it was revoked, it was already used, or the host no longer lives at the unit.
Visitor log
Everyone checked in today, or with Inside now everyone still inside from any day. Search by name or car plate. Each row shows where the visitor went, the time in and out, and the pass code. A vendor or delivery without a pass shows its kind instead. Check out records when the visitor left.
Register visitor checks in someone who came without a pass:
- Visitor name, from 2 to 120 characters.
- Kind: Guest, Delivery, Vendor or Other.
- Unit they visit, searched by number, or a Destination such as Entrance B or Gym. One of the two is required.
- Car plate, optional, such as 35 OS 123.
Parcels
The parcels couriers left at the desk: Waiting, Picked up or All. Each row shows the courier, the recipient (Apt 52 · Armen Petrosyan), when it arrived and when the recipient was notified.
Log parcel records a parcel that arrived:
- Courier, up to 80 characters: HayPost, DHL Express, Ozon.
- Unit, searched by number.
- Recipient, optional: one of the people at the unit. Leave it empty to notify everyone at the unit.
- Note, optional, up to 500 characters, seen only by the desk.
The recipient is notified at once. If nobody at the unit has an account yet, the parcel is still logged, and the message says so.
- Notify owner sends the notice again. It is hidden for an hour after the last notice.
- Hand over records that the parcel was picked up, after you confirm. It can be done only once, so two people at the desk never record it twice.
Notices appear in the residents’ notification center. SMS and push delivery are planned.
Every check-in, check-out and parcel action is written to the audit log.
